The electronic delivery of insurance documents
Do you use PDFs or other electronic documents to send insurance documents to insureds? Are they done via secure transmissions?
The Registered Insurance Brokers of Ontario (RIBO) says it has received enquiries from members about the electronic delivery of insurance documents to satisfy delivery requirements to clients. In its Winter Bulletin, the regulator says there are no restrictions solely on electronic delivery. However, RIBO Regulation 991, Section 14.5 requires brokers to keep client information strictly confidential.
“You would have to be confident that the use of e-mail or any other electronic means to distribute policy documents would not unduly compromise the clients’ personal information or the Privacy Act,” the bulletin says.
“Encryption can certainly be an effective way to protect electronic transmission,” the bulletin adds.
RIBO recommends that brokers also obtain and document the consent of a client prior to sending documents electronically.
